How CPR+ Tracks Changes to Your Data (Part 1 of 2)

Do you still carry cash? When was the last time you actually stood in a store and wrote a check? Why would you expect your customers to pay their bills any differently than you do? In today’s e-commerce economy, plastic rules. Did you know that you can accept credit and debit card payments directly through your CPR+ system?

It seems that there are so many features of CPR+ at times it’s hard to keep up with them. Now you’re thinking “Yeahbut, I probably have to buy it as a separate module, and it would probably take weeks to set up.” No and no. You will need to purchase the PCCharge software from VeriFone, but, if you are using CPR+ v 7.1 or higher, the functionality is already there and in no time, your company could be set up and ready to accept electronic payments from your patients.

Account Status Screen

The first thing to do is visit the VeriFone website at www.pccharge.com. You can purchase the software online or contact them by phone at 800-725-9264. Once you’ve installed the software, there are a few quick steps to get the interface up and running with CPR+.

Start by clicking on Utilities (8) > System Setup (2) > Interface Setup tab. On this screen, check the box labeled “Enable Credit Card Processing Through PCCharge Pro.”

System Setup Screen

In the PCCharge Path field, enter the path to the PCCharge program. That’s all there is to setting up the program itself. Next, you will need to set up your users. You may not want everyone in your company to have the ability to enter credit card sales, so we made it an option in the Employee Setup. From the Main Menu, click Databases (7) > Employee / Security Setup (8) and select a user from the list. Click the Options tab and enter the User ID in the PCCharge User ID field. Now click Save (F2).  Repeat for as many users as you choose – there’s no limit.

Credit Charge Screen

With all of these settings entered correctly and the PCCharge application installed, you are now ready to process electronic payment transactions.

You might ask, “Where do I process an electronic payment?” It can be accessed from Point of Sale, the Account Status screen, or the A/R Manager; and in Enterprise, from the four “Patients to Contact” lists.

Your next question might be, “So where does it go?” It goes into Unapplied Cash unless you are highlighted on a Patient Invoice in the Account Status screen or A/R Manager, then the payment is applied directly to that invoice.

Custom Labels, Patient Statements, and Delivery Tickets

Over the past five years, we have heard many requests to offer higher-level classes during the course of the User Conference. We have considered this and wondered how we could cover all of the basic material for the newer users and still get into more “complex” scenario processing during the amount of time that we had for the conference. This year, we have an answer.

For the first time, we are offering a pre-conference seminar on the Fundamentals of CPR+. This course is an overview of all of the “basic” functionality of CPR+. We will begin by reviewing the User Interface: the menus, toolbars, and shortcut keys. The class will continue with overviews of Inventory, Databases and Templates. The purpose is to give a familiarity of the back-end data-build prior to reviewing any patient processing. The course will continue by reviewing patient entry, order generation, authorization and documentation generation and management. The course will conclude with a billing overview and the closing process. This is a tremendous amount of material to cover in six hours. Attendees will receive a detailed document covering the same material (not available in stores) so that they may take notes and bring this valuable information back to the office.

The Fundamentals of CPR+ pre-conference seminar will enable us to cover some higher-level scenarios during the course of Saturday’s and Sunday’s classes. So, be aware that the conference courses are being designed without covering the “basics” (a working knowledge of CPR+ will be assumed for the Saturday and Sunday courses). The Fundamentals of CPR+ is not an integral piece of the User Conference and there is a nominal enrollment fee of $149.00 per attendee (the third attendee is FREE). See you at the 2008 User Conference!
