How CPR+ Tracks Changes to Your Data (Part 1 of 2)

  • Who added this patient to the system?
  • Who changed that patient’s group number?
  • Who changed the price of that item in the contract?
  • Who changed the cost of that item in inventory?

How many times a day do you hear these types of questions bandied about your office? Frequently, I’ll bet. In CPR+, we recognize that the data in your system is the lifeblood of your business and that you need to protect it.

To help answer these questions and protect the integrity of your data, we’ve built sophisticated auditing and tracking in the CPR+ system. In version 8.0a, we added the ability to view field change history. Did you know that you can right-click on a field in CPR+ and view the history of ALL CHANGES made to that field?

If you right-click on a field in the Patient Information, Orders, Prescriptions, Inventory, Special Price Matrix, and many other areas of CPR+, you can select “Last Changed By.” This option will display a message box indicating the User who made the last change and the date and time of the last change.

You also have the ability to see the history for a singular field by selecting the “History” option in the right-click menu. A transaction history for the field is displayed. This history lists the date and time of the change, the name of the user who made the change, the database field name, the previous value, and the new value recorded for that transaction. You can see at a glance what changes were made to the record, when and by whom.

This icon, found on the Patient Information, Order, and Prescription screens allows you to look into the past by displaying the transaction history of each of the fields found on that screen. This information allows you to see every change made to a patient’s demographic record, Order, or Prescription. That’s pretty powerful stuff!

Now that you know where to look, you can answer those questions regarding who changed what information and when it happened. Did you know that you now have the ability to place some additional control on the data that CAN be changed? Your right-click function contains an option that reads “Toggle Read-Only”. What does that mean? Essentially, it means you can “lock down” the fields that your staff can edit.

For example, you have found that the staff has not been using the popup choice list for “Service Area.” You have entries for “N”, “North”, “N.”, “Notrh” and you NEED to have only one entry. You can use the “Toggle Read-Only” function to force the use of the popup in this field. Once this is done, the staff can no longer type into the field.

You can also select fields to be designated as read-only from your System Setup screen. Go to Utilities (8)> System Setup (2) > Options tab and click on the Set Read-Only Status On Fields (F5) button:

This action will display a list of available fields to set as read-only. All you need to do is use the Spacebar to tag / untag fields. This is great functionality to eliminate the Garbage In, Garbage Out state of your data. Remember that you also have your Data Cleanup Utility to assist in remedying these data changes.

Custom Labels, Patient Statements, and Delivery Tickets

Have you ever asked if you could add or change something on the Delivery Ticket, Label or Patient Statements? If you have, then you need to come to the CPR+ User Conference where you'll learn how to customize each one of these forms. 

Let's look at how you can modify a Patient Statement. In this example, I've decided to include a message at the top of the form that goes to all patients as well as a message at the bottom of the form that goes to just that specific patient. I have also cleaned up the form so that it is easier to read and does not have as much information at the bottom of the form.  What about credit card information and a return section with the payment? Look at the bottom of the form. You'll see that I have added all the necessary information to identify the patient when they return the bottom of the form with their payment.

There are many other things that you can change on your Patient Statements, including making them site-specific. Come to the User Conference and find out how you can do this for your company.

Do you use your PO Rx Format for non-compound medications? Are you tired of trying to read the small label?  With a custom label you can increase the size of the font and move items around. You can completely change your label to meet your needs while still staying within the guidelines of your State Board of Pharmacy.

Brand new in 8.1a: CPR+ will have the ability to create Custom Delivery Tickets. With this new functionality you will actually be able to create tickets with or without pricing, Pickup Tickets, Point of Sale Ticket, as well as Cleanroom Tickets. Below is a ticket with several changes that can be made with this new feature. You can move items around, and even add information that you've never seen on a ticket.
