The "New" Special Price Martrix - Part II

In last week’s article, we looked at the new split-screen format for the Special Price Matrix and learned where CPR+ stores the prices used to generate the Billed Price and the Expected Price.  You did read last week’s article didn’t you?  It was New Year's day so, if you’d like a quick refresher click here to access the newsletter archives. This week, we’re going to define all of the fields on the Special Price Matrix so that there’s no confusion about what each does. 

On the left side of the split screen, there are columns for the item Name, CD, HCPC, $ and Auth?.  As you scroll down the list, the “Item Information” on the right-side of the split screen changes to correspond with the item highlighted.

SPM

Left Column:

Name, CD and HCPC – These columns display the item’s Name, Price Code and HCPC codes.  All are stored in the Inventory table and cannot be edited from the SPM.

$ - The $ sign column corresponds to the ‘Billable’ field on the right hand column and is used to indicate whether this item is billable under this contract (or SPM).  A ‘Y’ indicates the item IS billable under this contract and CPR+ will put a “X” in the “B” column of a Delivery Ticket.  An ‘N’ indicates it is NOT billable (no “X”) and a “0” indicates that the user wants the item to be added to a Delivery Ticket with an “X” in the “B” column but with an Expected Price of $0.00.

Auth? - The Auth? column corresponds to the ‘Req. Auth.?’ checkbox on the right hand column and is used to indicate whether this payor requires prior authorization for this item under this contract (or SPM). 

Right Column:

Sale Modifier – This field allows you to define up to four modifiers (including the spaces between) that will be copied to a line item when this item is pulled onto an invoice. You also have the ability to define specific modifiers for rental items.

Documentation – This field allows you to define what type of Supporting Documentation is required by this payor for this item – CMN, SMN, or Prompt.  If you select SMN, a second field is revealed labeled ‘Template.’  This allows you to select a default SMN template to associate with this item.

Special Code – If this payor requires a non-standard code, i.e. something other than the HCPC that is assigned to the item in the inventory file, you may enter this Special Code in this field.

Guide - This new field allows you to specify a ranking or guide for particular items for this payor.  For example, a Medicaid program may only pay for generic drugs and not the brand names. The guide would assist in selecting the correct drug item to use when filling an Rx.  The Guide is user defined and the results are displayed when items are being selected from inventory for a Compounding Record or Delivery Ticket.

Not Covered – This new checkbox is a definitive indication that this item should not be dispensed to a patient with this payor. When an item is checked “Not Covered,” it does not appear in the selection grid when inventory is being added to a compounding record or to a Delivery Ticket.

Req. Auth? – As noted, this checkbox allows you to decide which items require authorization for this payor.

Special Price – Formula / Multiplier – The Special Price field displays the price CPR+ will use when calculating the bill price for this payor for this item (i.e., the price to charge).  The Formula and Multiplier displays how the Special Price is derived (e.g., List x .65, AWP x .8, etc.). 

Expected Price – Formula / Multiplier – The Expected Price field displays the price CPR+ will use when calculating the expected amount for this payor for this item (i.e., the amount of revenue and A/R to book).  The Formula and Multiplier displays how the Expected Price is derived (e.g., List x .65, AWP x .8, etc.).

Override Special / Expected – These fields enable you to apply a different formula to this item for Special and Expected Price than the standard formula applied to all items in the Price Code, allowing you to “carve out” certain items of a common category and price them differently.

Rental Item Details

Rental Price Type – This field is used to identify equipment (“Rental”) items as Sale only, Rental only, or Prompt. These options will override the option set at the Inventory level, enabling you to define how each payor handles various equipment.

Rental Modifier – This field is used to indicate the default modifier to use for this payor when renting this piece of equipment.

Sale Price - Special & Expected – These fields are used to define the price to bill and expect when selling, rather than renting this piece of equipment. 

In addition to the new look and the new fields, creating your SPM’s is easier too.  Filling the matrix with the “F3 button” is now performed in a single grid for both the Special and Expected prices!  So it’s a new year – invest a little time and get your SPM’s setup correctly and let the system start working for you - you won’t regret it!  For more information on understanding and using the Special Price Matrix, contact a CPR+ Trainer today or check out the free, comprehensive On-Demand Training video available at http://ondemand.cprplus.com.

CPR+ Tip of the Week

Lookup Patients by Policy Number

Did you know that you can look up patients by the policy number in CPR+? No?

Well, from the Main Menu you can go to Billing / Financial (5), Create Invoices (1), and then press the <CTRL+F8> keys. CPR+ displays the Enter Policy # screen. Enter the policy number in the available field, click the Save (F2) button and the matching patient is displayed in the grid.
